Who we are

Ivory Tails ("we", "us", "our") is a home-based dog grooming business operating in Farnborough and surrounding areas. For privacy questions, contact us at maia@ivorytails.co.uk or on 07307 271071.

What we collect

When you contact us or book an appointment, we may collect:

• Your name, email address and telephone number
• Your dog's name, breed, age and any behavioural or health information you choose to share so we can groom safely
• The service you are interested in and your preferred date
• Notes from your appointment and a grooming record (including before, during and after photographs of your dog)
• Your photography preference — whether your dog's photos may be used publicly (website, portfolio, social media) or kept private to your grooming record
• Messages you send by website form, email, telephone or WhatsApp
• Basic technical data needed to keep the website secure and working (such as IP address and limited request logs from our hosting and form providers)

Information about your dog's health and behaviour is treated as information about your dog, not as your own medical data.

How we use it

• Respond to your enquiries
• Arrange and confirm appointments
• Provide and improve our grooming services
• Maintain necessary customer and appointment records
• Handle questions, follow-ups and complaints
• Prevent spam, fraud and abuse of the website and enquiry form
• Meet our legal and regulatory obligations

Our lawful bases

• Steps requested before entering a contract — handling your enquiry and arranging a booking.
• Performance of a contract — providing the agreed grooming service.
• Legitimate interests — keeping appropriate records, securing the website and preventing abuse.
• Legal obligations — where we are required by law to retain certain records.
• Consent — only where genuinely required (for example, optional marketing, which we do not currently send).

Who we share it with

We do not sell your personal information. We share it only with the providers needed to run the website and respond to you:

• Our website host and supporting infrastructure
• Web3Forms (web3forms.com) — processes website contact-form submissions and forwards them by email to Ivory Tails
• Our email provider used to receive your enquiry at maia@ivorytails.co.uk
• WhatsApp and standard telephone networks, when you choose to contact us through those channels
• Any other service where required by law

When you submit the website contact form, your details are sent to Web3Forms, which then delivers them to Ivory Tails by email. We do not currently use your information for marketing.

How long we keep it

We keep enquiry and customer information only for as long as is reasonably needed for the purposes above, then delete or anonymise it. Specific retention periods will be confirmed and added here.

Your rights

Under UK data-protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to ask for a copy of the data you provided. To exercise any of these rights, email maia@ivorytails.co.uk.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Security

We use reasonable technical and organisational measures to protect your information, including encrypted website connections (HTTPS) and limiting access to enquiry data.
